We worked with our client on their annual summer staff event who wanted to evolve their usual summer drinks in London.
Epsom Racecourse was the chosen venue, during an afternoon race meet followed by a concert from The Beach Boys. We reserved an exclusive area inside the track right on the finish line for the ultimate racing excitement. 2 open top classic Routemaster buses provided the seating and views directly over the finish line, whilst drinks and delicious food was served in the private garden area, along with direct access to touting facilities so guests can place their bets. After the racing guests made their way into the Grandstand to enjoy the atmosphere of The Beach Boys gig before our coaches took them home.
The event was so successful it was repeated in 2015, but with popular ska band Madness providing the entertainment.
On what should have been an easy repeat event, London tube staff went on strike causing London, and transport to our event, to go into meltdown! The traffic chaos caused delays and one of our coaches to overheat taking it out of action. A quick plan B was put into place, trains were booked and alternative coaches arranged (an almost impossible task), and the event went ahead as planned, with relatively small delays considering the scenario we faced.
It’s not very often a well planned event has unforeseen problems, but fortunately contingency planning saved the day and turned a potential cancelled event into a great day with only minor delays. To keep this event on track, our event managers really did have to go “One Step Beyond!!”
